What is a Military Shadow Box?

Military shadow boxes are an American tradition harking back to the days of sailing ships. Today, these display cases are presented to Veterans of all branches of service – Navy, Marine Corps, Army, Air Force, Coast Guard, and the newest of the U.S. military’s six branches, the U.S. Space Force.

Shadow box display cases are meant to honorably safeguard and proudly display the achievements of the millions of military servicemen and women who have served our country with distinction and honor both in peacetime and times of war.

For Veterans, shadow boxes are highly personal, representing years – even decades – of powerful experiences, character-building challenges and achievements, as well as treasured memories of camaraderie and friendships that will last a lifetime.

Throughout our nation’s numerous military conflicts, our military members have served our country faithfully. These conflicts include World War II, the Korean War, the Vietnam War, the Gulf War, the Afghanistan War, the Iraq War, as well as numerous interventions, including the War on Terror following the terror attacks of September 11, 2001, as well as the targeting terrorist groups like Al-Qaeda, the Islamic State, ISIS, Al-Shabaab, and more.

All of these conflicts have been served by the tireless dedication of many millions of servicemen and women from all 50 states. What’s the Difference Between Flag Cases and Military Shadow Boxes?

Flag cases and military shadow boxes serve distinctive purposes in honoring and preserving memorabilia. Flag cases are primarily designed to hold and display folded flags, often used for ceremonial purposes like honoring veterans or fallen soldiers. They’re usually elegant and crafted specifically to showcase the flag with respect and dignity.

On the other hand, military shadow boxes are more versatile. They’re larger and deeper, offering space to display a variety of items such as medals, insignia, certificates, photos, and other personal memorabilia alongside the folded flag. These shadow boxes are personalized and designed to tell a story or highlight a career, commemorating the service member’s achievements and experiences.

Both are significant in their own right, but the distinction lies in their intended use and the range of items they can display. Flag cases focus on the flag itself, while military shadow boxes allow for a broader representation of a service member’s journey and accomplishments.  

 

The History and Lore of the Shadow Box

Historically, when sailors committed to a ship’s crew, it often meant a lifelong commitment to that vessel. Over years of global voyages, sailors would amass trinkets, souvenirs, and reminders of their travels. Given the limited space aboard the ship, these tokens were typically small.

When a sailor bid farewell to the ship for the last time, their fellow crew members ensured the creation of a ceremonial shadow box to collect and safeguard the sailor’s possessions accumulated during numerous voyages. These possessions symbolized and celebrated the sailor’s career, achievements, and time at sea. The shadow box was meant to display these items and keep them safe for the sailor’s lifetime and beyond.  

Why are Some Flag Cases Called “Shadow Boxes”?

In American maritime lore and tradition, a fascinating belief surrounds the departure of retiring sailors from their ships.

It has been said that if a retiring sailor’s shadow touches land before they do, misfortune may follow. To ward off this ill fortune, and to ensure good luck, the sailor’s shipmates crafted a robust “shadow box” from the finest materials to contain the sailor’s “shadow.” The “shadow” was comprised of all of the mementos the sailor had collected over many years at sea, with each memento symbolizing the sailor’s journey, experiences, dedication, and achievements. The “shadow box” became a vessel to showcase mementos of the sailor’s achievements, symbolically safeguarding the “shadow” of the individual. 

Safely preserving the sailor’s “shadow” until the sailor set foot on solid ground, the shadow box was then presented to the sailor in a meaningful ceremony. In United States Navy tradition, the farewell ceremony often included the phrase “”Fair winds and following seas” to wish the sailor well on all their future endeavors – a tradition which is still honored today. 

A well-crafted shadow box ideally becomes more than a mere collection of items; it transforms into a comprehensive reflection of achievements and the summation of a rich and fulfilling career of dedicated service. The shadow box and its contents should offer anyone seeing it a profound understanding of a Veteran’s life of service and accomplishments. 

How to Make a Military Shadow Box

Creating a military shadow box is a meaningful and heartfelt way to honor every military Veteran’s military service. These personalized flag shadow box displays beautifully showcase medals, ribbons, decorations, awards, photographs, flags, and other personal memorabilia, thereby preserving their legacy of military service.

When making a military shadow box, it’s important to take time and care, and to apply love, consideration, and creativity. The Veteran receiving the shadow box should feel truly moved and highly honored when the shadow box is ceremoniously presented.

Below, we’ll guide you through the important steps to take in order to make a beautiful military shadow box for your special Veteran. Read through the steps to familiarize yourself with the information, and then take your time with the process. Rather than rushing through the process, you should feel relaxed, allowing yourself plenty of time to gather items, consider personalization options, and experiment with different layouts. 

Begin by gathering the items you want to display in your military shadow box, as detailed below.  

 

What Items are Displayed In A Military Shadow Box?

A great variety of items can be displayed in your Veteran’s military shadow box. Examples include:

  • Flags – usually the American flag 
  • Medals, such as Purple Hearts, Bronze Stars, Silver Stars, Distinguished Service Medals, Achievement Medals, Commendation Medals, and Crosses, such as the Distinguished Service Cross, the Navy Cross, the Air Force Cross, and the Coast Guard Cross, and other commemorative medals, ribbons, awards, such as awards for valor, decorations, attachments, devices, patches, crests, insignias, such as branch insignias and rank insignias, badges, such as rank badges, skill badge, qualification badges, identification badges, service stripes, campaign battle stars, unit patches, dog tags, challenge coins, unit citations, and more
  • Photos
  • Certificates
  • Uniform items such as aiguillettes or braided uniform cords. Pay close attention to how items are arranged on a uniform. Taking pictures is a good idea.  

 

Removing Ribbons and Other Items from a Veteran’s Uniform

You may choose to remove the ribbons, medals, badges and other items from a uniform in order to place the items into your military shadow box. However, another option is to request or order duplicates of all of these items and to place the duplicates within the shadow box. Information on how to request duplicates of medals and other awards is included below  This will allow you to keep the uniform intact, which allows for the option of displaying the uniform separately in its own uniform display case, which we also highly recommend. If you plan on removing items from a uniform, please take pictures to note the arrangement of all items on the uniform. You can then use the photographs to guide you in recreating the layout of the items within the shadow box.

It’s also important to note that some Veterans may want to keep a set of medals to wear. This desire should be honored and respected. So in this case, duplicate medals should be obtained so that the veteran is able to wear their medals. See below for how to obtain replacement military medals. 

 

How Do I Find Out Which Military Awards My Veteran Has Earned?

What if you’re not sure which awards that your veteran has earned? Naturally you want to be sure that you include all of your veterans awards in your military shadow box display case. All of the awards earned by a military Veteran are listed on the Veteran’s discharge certificate, also known as form DD-214. If you don’t have this form, you can request that it be sent to you. Click here to request your Veteran’s military service records. For help submitting your request, call the National Personnel Records Center (NPRC) at 314-801-0800. 


How to get Replacement Veteran Military Medals, Awards, and Decorations

If you no longer have access to your Veterans military medals, awards, and decorations, you can receive replacements for these items through the Veteran’s branch of service in which they served. Requests can be initiated in writing or online. Click here for more information and to initiate your military medal replacement request. If the military is unable to fulfill your request to replace medals, these medals can be purchased privately. If you need help, call the National Personnel Records Center (NPRC) at 314-801-0800.  

 

How to Select Your Military Shadow Box

Choose a military shadow box that suits your style and complements the items you wish to display. Consider factors such as the shadow box’s size, material, and design.

Shadow boxes and flag cases come in a variety of woods to choose from. For example, oak, cherry, and walnut are all popular woods which are used in shadow box and flag display case construction.

Many military shadow boxes are designed to be hung on a wall, so if you intend to hang yours on a wall, you can look for this option. Keep in mind that you can also attach shadow boxes to walls by using the appropriate 3M adhesive. Alternatively, shadow boxes can also be placed on a shelf, desk or mantle. 

 

Matching Your Décor

When choosing your display case, think about where you’d like to display your shadow box. What is the existing décor like? Then consider what wood and what finish will best compliment your existing décor. You can also match your shadow box to additional shadow boxes or display cases that you would like to utilize in order to display more items. 

 

How Big of a Shadow Box Do I Need?

By gathering all your items, you’ll get a better sense of the type and size of the military shadow box that will make the best display for all of your items. Experimenting with different layouts will give you an idea of the amount of space you need.

If you need more space, you can choose a larger military shadow box, even if you have a smaller American flag. You can refold a smaller flag to fit into a larger shadow box using our Easy Fold technique, as detailed below.

In case you have a substantial collection of items to showcase, or you anticipate acquiring more memorabilia in the future, you don’t have to fit everything into one shadow box, and you also don’t have to leave any items out. You can simply add one or more additional shadow box displays. You may need more than one shadow box, and that’s ok!

One option is to place a second shadow box beneath the primary shadow box, effectively creating a pedestal. Some shadow boxes are specifically designed to serve as pedestals for larger shadow boxes. You can also display multiple shadow cases side by side on a shelf, desk, or mantle. You can also hang multiple shadow boxes on a wall. This provides flexibility and ensures your display can evolve and expand with your collection.

You can also add a separate challenge coin display case if you have more challenge coins than can fit in the primary shadow box.

When selecting additional display cases, consider matching their woods, the color of their finishes, and their designs so that they complement one another and look like they match each other well.

It’s also important to note the size of the American flag that you wish to display. Typically the size will either be 3 ft by 5 ft or 5 ft by 9.5 ft. If you have a large American flag, a large military shadow box is required to display the large flag. Large flags cannot fit inside small shadow boxes or flag cases. More information on this topic is included below.  

 

Get the Best Military Shadow Box for Your Flag Size

Make sure to choose the right size shadow box for the flag you wish to display. Not all military shadow boxes can display all flag sizes. It’s important to select a shadow box which is large enough to display your flag.

Generally speaking, both flags and military shadow boxes come in two sizes: large and small. If you have a large flag, you need a large shadow box that’s large enough to display your large flag. Sometimes people order a small shadow box and then are surprised and disappointed when their large flag won’t fit inside.

A large military shadow box will accommodate all flags up to 5×9.5 foot flags, which are also known as memorial flags, as well as smaller flags. A smaller military shadow box will accommodate flags up to 3×5 ft flags.

Please note that smaller shadow boxes designed for 3×5-foot flags are too small to fit memorial size 5×9 ft flags. However, 3×5 ft flags can be displayed in large shadow boxes designed for 5×9.5 ft flags.

To display a smaller flag in a larger shadow box, simply use our easy flag folding technique which you can read about here. This technique allows you to fold a smaller flag, such as a 3×5-foot flag, in a way that it will properly fill the space of a larger shadow box designed for larger memorial flags and 5×9 ft flags.

Keep in mind that a memorial flag, or a flag that is received from the military upon the passing of a Veteran, or a flag that is draped over a casket, is a 5×9 ft flag (technically 5 feet by 9.5 feet), and will require the large size military shadow box which is large enough to display such a flag. 

Large military shadow boxes fit all flags up to 5×9.5 feet, including memorial flags and flags draped over caskets. Large shadow boxes can also fit smaller flags, such as 3×5 ft flags, by utilizing the easy flag folding technique as detailed here.

Small military shadow boxes fit all flags up to 3×5 ft but cannot fit larger flags.   

 

What Size is My Folded American Flag?

How do you figure out the size of your flag if it’s already folded? Great question. Use the following reference to help you figure out the size of your folded American flag.

It’s important to know the size of your American flag so you can select the right sized flag case to display it. It’s frustrating for those who receive a flag case only to discover that their flag is too big to fit inside. This is why it’s important to measure your flag first. 

Of course, you could unfold the flag to measure it. But unfolding your flag is not necessary to measure it. Besides, it may be especially important to you or your Veteran to keep your flag folded if it was presented to you or your Veteran by the military during a retirement ceremony or at a memorial service or funeral service. You or your Veteran may wish to keep the flag folded to preserve the solemnity of the flag presentation. In this case, we recommend keeping the flag folded. 

But if your flag is already folded into a triangle, how can you tell the size of your folded American flag? Fortunately, if your flag is already folded into a triangle, you don’t need to unfold it to determine its size. Read on to figure out the size of your folded American flag while keeping it safely folded.

You can use the following folded flag measurements as a guide to help you figure out the actual size of your folded American flag without having to unfold it.

Measure the bottom edge – the longest side – of your triangle folded flag. If it measures 22 inches to 24 inches, the flag is a 5 foot by 9.5 foot flag, also called a 5X9.5 flag, or a memorial flag, casket flag, or burial flag. If the bottom edge – the longest edge – is 13 inches to 15 inches, the flag is a 3 foot by 5 foot flag, also called a 3×5 foot flag. 

For 5X9.5 flags (aka memorial flags, casket flags, or burial flags): bottom (longest) side length = 22” – 24” inches

For 3X5 flags: bottom (longest) side length = 13” – 15” inches

Another clue of a flag’s size is the weight of the flag. A 3X5 flag will be relatively light weight, regardless of its material. Picking up a 3X5 flag is very easy. Its weight will feel relatively insubstantial. On the other hand, a 5X9.5 memorial flag will feel quite substantial and hefty in weight, like the weight of a thick hardcover book.  

 

Customizing Your Military Shadow Box

Many military shadow boxes offer options for customization. Because every Veteran is unique and has their own story, customization options are available to make every military shadow box uniquely appropriate for the Veteran receiving it.

Consider personalizing your shadow box with brass medallions, engraved glass fronts, pedestals, and other special touches that add significance to the display.

To further customize a military shadow box, an engraved plaque or plate can also be attached to the exterior of the military shadow box. Typically such an engraving will include the Veteran’s name, rank, branch of service, years of service, and/or years of birth and passing. But the messaging can be personalized to accommodate the family’s wishes as desired.

Some military shadow boxes also feature engraved glass fronts which can be custom engraved with the official logo of a Veteran’s service branch, as well as their name, rank, years of service, and any other appropriate messages.

Brass medallions depicting the official logo of the Veteran’s branch of service can also be attached to the front of the military shadow box.  

 

Arranging Your Military Shadow Box Memorabilia

Lay out your memorabilia on a clean, flat surface and plan the arrangement within the shadow box. Experiment with different layouts until you achieve a design that best tells the story you want to convey. 

If you have a military uniform, pay close attention to how all ribbons, medals, military devices, insignias, badges, and patches are arranged on the uniform. We recommend taking photographs of the uniform layout to keep as a reference. You can then recreate the medal layout of the uniform within the military shadow box, thereby clearly signifying what the ribbons and medals and badges tell about your Veterans military service.   


Create a Central Focus

Start by identifying the central focus of your display. This is typically where you’ll place the most prestigious or significant items, such as medals, ribbons, badges, insignias, awards, decorations, citations, certificates, or photographs. The flag is of course also a major point of focus, and its location will be determined by the design of the military shadow box you choose. 

Balance and Symmetry

Achieving balance and symmetry in your arrangement is visually pleasing. If you have multiple medals, decorations, badges, attachments, devices, insignias, awards, ribbons, or dog tags, you can arrange them symmetrically on either side of the central focus. This creates a harmonious look. If you have several similarly sized or shaped items, you can group the similar items together.

Alternatively, you can space similarly sized or shaped items across the shadow box display area. If you have two similar items, you can place them on opposite sides of the display area. For example, one item could be placed in the upper left corner, and the second similar item could be placed in the upper right corner. 

Use insignia, patches, or badges to frame the central focus. These items can be placed above, below, or on the sides of the central items to create a framing effect. Consider the significance of each insignia and its relation to the central items.

Add Personal Photos

Including personal photographs of the service member can add a more personal touch to the display. You can place these photos next to the medals or in the background.

Try Different Layouts

Feel free to experiment with different layouts before finalizing your arrangement. Lay the items out on a flat surface and play with different configurations until you achieve the desired look.

Remember that the goal is to create a visually appealing and meaningful display that honors your or your family member’s military service and achievements. Your arrangement should tell a story and evoke emotions.

Take your time in this step, as it’s a crucial part of creating a military shadow box display that you and your family will cherish for years to come. 

 

Mount Your Memorabilia in Your Military Shadow Box 

The next step is to carefully mount your items within your military shadow box. But as your items are precious, you may be wondering what’s the best way to mount awards in a shadow box?

We recommend adhesive foam discs for mounting items. These discs are inexpensive and can be found online or in most arts & crafts stores. These special discs have adhesive on both sides and are very easy to use. They are designed to mount items without damage. You can use them for any and all items. You can even cut them down to size for especially small items. Simply place the disc between the item and the shadow box display area backing surface.

Other methods of attachment include double-sided tape, such as from 3M. Some people use Velcro, but we don’t recommend it. Instead, we suggest adhesive foam discs for getting the best results. Pins can also be used, but we don’t recommend them either because the pins will be visible, and will also puncture your items. Again, we recommend adhesive foam discs. Ensure all items are secure and well-aligned.   

 

Changing the Layout of Your Shadow Box Memorabilia

The layout of memorabilia in a military shadow box is not set in stone. If your Veteran ever feels like changing the layout of your memorabilia, simply open the shadow box display area and create a new memorabilia arrangement.

A Veteran is free to modify the memorabilia layout as they see fit. They may have preferences about where and how and which items should be displayed, and these preferences should be respected and honored. They may also have a desire to add new items to the display, such as photographs, and these desires should be celebrated.

If the Veteran desires for multiple items to be added and there is no more room for more items, a second shadow box display should be added beneath the primary shadow box display. The second shadow box can form a pedestal for the first shadow box. Alternatively, the cases can also be displayed separately. If the display cases are placed near each other, or on top of one another, consider selecting displays whose colors and styles match.  

 

Hang or Display Your Military Shadow Box

Your military shadow box is now ready to be proudly displayed. Whether you choose to hang it on a wall, place it on a shelf, desk, or mantle, or opt for another display method, it stands as a meaningful tribute to honor your or your loved one’s military service and achievements.

For wall mounting, many shadow boxes come equipped with hangers or hooks designed for easy installation. Ensure the box is securely attached to the wall using appropriate nails or screws. If your shadow box doesn’t have built-in hanging hardware, you can utilize 3M adhesive strips or Velcro Command Strips, following the manufacturer’s instructions for a secure attachment.

If you prefer a freestanding display, consider placing the shadow box on a stable surface, such as a shelf, desk, or mantle.  

 

How to Maintain Your Military Shadow Box

To keep your military shadow box looking its best, dust it regularly. Furniture polish can also be used as needed or desired. Glass cleaner such as Windex can be used to clean its face. Avoid exposing your shadow box to direct sunlight, extreme temperatures, or excessive humidity.

Optionally, a UV shield spray such as from MagicEzy can be applied to the shadow box face to increase protection of the items within. With proper care, your shadow box will preserve your Veteran’s legacy of service for generations to come.  

 

How to Protect Your American Flag While Displayed in a Shadow Box or Flag Case

A good shadow box or flag case will do a fantastic job of protecting your American flag from dust and damage. However, care must be taken to avoid excessive exposure of the flag to ultraviolet UV radiation, which can contribute to fading of the flag’s fabric and the vibrant colors of the flag’s red, white and blue stripes – the iconic colors of the American flag.

It’s best to limit exposure of your flag to sunlight. Most indoor lighting produces very little to no UV radiation. If your shadow box or flag case will receive any regular sunlight, whether direct or indirect, we recommend spraying your American flag with a UV fabric protectant spray.

If your flag will be flown outdoors frequently, we also recommend it be sprayed with a UV fabric protectant spray. However, if you have a very special flag, we recommend that it not be flown outdoors, or at least greatly limiting its exposure to outdoor elements. In addition to UV radiation, which can fade a flag’s colors, air pollution and dirt can also diminish a flag’s beauty and the integrity of its fabric.  

 

Where To Display a Military Shadow Box

The choice of where to display a military shadow box should ultimately rest with the Veteran whose service the shadow box honors. Therefore, we recommend letting your Veteran decide where and how their shadow box should be displayed. With that said, here are general recommendations and options for the various locations in which your Veteran’s shadow box can be displayed.

Living Room:
The living room, often the heart of the home, is an ideal location for your military shadow box. Choose a prominent wall or a well-lit shelf to showcase the shadow box. It’s a symbol of pride and a conversation starter for guests in this casual setting. You can also surround it  with other items that bring you joy and relaxation.

Office or Workplace:
If you have a professional office or workspace outside your home, displaying your shadow box here can make a strong statement. How to Organize a Military Shadow Box Presentation Ceremony

A military shadow box presentation ceremony is a moving and meaningful event to honor your Veteran’s years of service and achievements. It is a moment to express gratitude, respect, and recognition for all that they have achieved. This guide will walk you through all the essential details for organizing a memorable and heartfelt ceremony.

  1. Planning and Preparation:

Date and Time:
Choose a date and time that is convenient for your Veteran and their loved ones. It could be during a special occasion, a retirement party, or a stand-alone ceremony.

Location:
Select a suitable venue, such as a family home, a community hall, a military facility, or a Veterans’ organization meeting place. Ensure that the location accommodates the attendees comfortably.

Guest List:
Compile a guest list of family, friends, fellow Veterans, speakers, and anyone your Veteran wishes to invite. Send out invitations well in advance. Make sure to include all relevant details, including date, time, location, and the purpose of the event.

Master of Ceremonies:
Designate a Master of Ceremonies to guide the event, introduce speakers, and maintain the flow of the ceremony.

Guest Speakers:
Consider inviting a guest speaker or speakers who would like to speak as guest speakers and who can provide insights into the honoree’s service and achievements. These may include family members, friends, colleagues, acquaintances, or community members who wish to express their thoughts and acknowledgments regarding the honoree’s service. Select a primary guest speaker, such as a fellow service member, a commanding officer, or someone who can speak to the significance of the event.

Contact these individuals well before the ceremony and formally invite them to be speakers. Provide them with information about the event and the schedule. Specify the length of time allocated to each speaker for their speech. This ensures that the ceremony stays on schedule and that each speaker has a clear timeframe in which to convey their message.

Provide guidelines or recommendations for the content of their speeches. Encourage speakers to focus on the honoree’s service, character, and contributions. Also encourage the telling of memorable and/or poignant stories involving the honored Veteran and their service.

Determine the order in which the secondary speakers will deliver their speeches. This order can be based on factors like their relationship with the honoree or the content of their speeches.

If possible, offer the opportunity for speakers to practice or rehearse their speeches before the ceremony. This can help ensure that their remarks are well-prepared and heartfelt.

Honored Veteran’s Speech
Give the Veteran to be honored plenty of time to consider what they would like to say at their ceremony. Encourage the telling of stories because storytelling is a very powerful means of communication. Give them plenty of opportunities to practice delivering their speech.

Master of Ceremonies Script:
Prepare a script for the Master of Ceremonies, including introductions, speeches, and acknowledgments. Details on how to create the script are included further in this guide.

Printed Ceremony Programs:
Create printed programs for the ceremony which can be mailed to guests and/or given to guests upon arrival. The program can contain a welcome message, thanks for attendance, biographical information about the Veteran, information about the ceremony, including dates, times, and significance. Also include information about the significance of the shadow box, as well as a description of all of the items displayed inside and their meaning and significance. 

Create an Itinerary:
Outline the schedule of events for the ceremony, including speeches, presentations, and any other special segments. A sample ceremony  itinerary is included below.

Flags and Decorations:
Decorate the venue with appropriate flags, military insignia, bunting, and decorations. In addition to American flags, consider displaying flags of the Veterans branch of service. Create a respectful and patriotic atmosphere.

Special Touches:
Incorporate music, such as military anthems or your Veteran’s favorite songs, to enhance the atmosphere.

Prominently display enlarged photographs of the honored Veteran throughout the venue. Display both current photographs and historical photographs to give a sense of your Veteran’s timeline. Choose a wide selection of photographs, from formal shots to candid shots. Display photographs and memorabilia from your Veteran’s service alongside the shadow box.

Consider hiring a photographer and/or videographer to document the ceremony for lasting memories.

Reception:
Plan a post-ceremony reception for all guests featuring refreshments and music, if desired. Create a warm and inviting atmosphere for attendees to connect and share in the celebration. Ensuring a seamless transition from the formal proceedings to a welcoming atmosphere.

Consider displaying the shadow box prominently in a central location where guests can examine the shadow box and its contents up close. This creates a wonderful way for everyone to be able to truly appreciate every element displayed in the case. Consider providing a document listing the meanings of the various displayed items. This information can also be displayed in any ceremony programs provided to guests.

Ensure guests can mingle and celebrate in comfort. Consider catering options, décor, and entertainment to complement the ceremony’s significance, providing a cohesive and enjoyable continuation of the ceremony, fostering a sense of welcoming, warmth, celebration, community, camaraderie, and friendship.

Thank-You Notes:
After the ceremony, send thank-you notes to all speakers and attendees, expressing your gratitude for their presence and support.


2. Shadow Box Preparation:

Prepare your shadow box in accordance with the previous section above entitled LINK How to Make a Military Shadow Box. Ensure that the military shadow box is personalized with your Veteran’s name, rank, dates of service, and any other relevant details.

Content Arrangement:
Carefully arrange the medals, decorations, ribbons, badges, awards, insignias, dog tags, certificates, citations, and other items inside the shadow box. Include any photographs or documents that tell your Veteran’s story.

Flag Folding:
If a folded flag will be presented, ensure it’s properly folded and placed in the shadow box or ready for separate presentation. Alternatively, the flag can be folded during the presentation with a flag folding ceremony, and then presented to the Veteran and/or placed inside the military shadow box display case.

Display Stand:
Decide where the shadow box will be placed before and after it is presented, such as a table, pedestal, or display stand.

 

3. Shadow Box Presentation Ceremony Agenda:

The following is a sample agenda for a shadow box presentation ceremony. Please note that the elements and order of the agenda can be adjusted based on the specific preferences and requirements of the ceremony. Prioritize the comfort and wishes of the honoree to ensure the ceremony is a meaningful and respectful tribute to their service.

Welcome and Opening Remarks:
The Master of Ceremonies opens the ceremony with a warm welcome, thanking guests for attending, and setting the tone for the event. If desired, the Master of Ceremonies can also give a brief overview of the upcoming elements and agenda of the ceremony.

Invocation or Prayer:
If appropriate, include an invocation or prayer to offer blessings and guidance.

Moment of Reflection:
Allow a moment of silence or reflection to honor all Veterans who have served.

Introduction of Guest Speakers:
Warmly welcome and introduce esteemed guest speakers, offering a brief overview of their background and connection to the event. Highlight the unique perspectives they bring, enhancing the richness of the ceremony with their thoughtful reflections and insights.

Honoring the Veteran: Introducing the Honoree’s Journey:
Present the honoree through a succinct biography, offering insights into their life, service, and accomplishments. This introduction establishes the foundation for the ceremony and provides context for subsequent segments.

Biographical details about the veteran may be shared by the Master of Ceremonies and/or one or more Guest Speakers.

Present the Veteran’s Story of Service:
The Veteran’s journey may also be shared through an audio-visual presentation or slide show, highlighting and showcasing the honoree’s life, service, sacrifices, challenges, and achievements. Visual aids, such as photographs and videos, may be displayed. Music may also be played.

Guest Speakers Addresses:
Introduce one or more guest speakers, which can include family members and fellow service members. The primary guest speaker, often chosen for their close relationship or significant role in the honoree’s life, is a central figure in the ceremony.

Allow each speaker their allotted time to share their thoughts and memorable stories related to the honoree and their service.

Invite the primary guest speaker to provide insights into the honoree’s service, accomplishments, and contributions. This speech should be a heartfelt acknowledgment of the Veteran’s dedication, achievements, and service.

Reading of Citations:
If the honoree has received any awards or commendations, read the citation associated with these accolades. This is a moment to highlight the Veteran’s achievements. Consider having individuals who were involved in the citations or are knowledgeable about them to read the citations.

Flag Presentation:
Whether the flag is presented separately or as part of the shadow box depends on the preferences and traditions of the ceremony. In some cases, the flag is already part of the shadow box, while in others, it may be presented separately.

If a flag is presented separately from the shadow box, it can be presented already folded, or a flag-folding ceremony can take place. If a flag-folding ceremony takes place, explain the meaning of each fold, and present the flag to the Veteran. This can be followed by the Pledge of Allegiance and/or a performance of the national anthem.

After the flag presentation and the associated rituals, the flag can then be carefully folded and placed into the shadow box during the formal presentation of the shadow box. This allows for a meaningful and symbolic transition from the flag presentation to the shadow box presentation.

Alternatively, some ceremonies may choose to leave the flag presented separately as a distinct and stand-alone symbol of honor. In this case, the flag remains separate from the shadow box and is often displayed in a prominent location on its own, such as a flag stand or flag case. This approach emphasizes the flag’s significance and separates it from the other memorabilia in the shadow box. It can be a powerful way to pay homage to the flag’s symbolic importance.

Shadow Box Presentation:
This is the heart point of the ceremony. Have one or more key individuals, such as a commanding officer or a family member, present the shadow box to the Veteran. Share the significance of each item in the box, honoring the achievements and sacrifices they represent.

Remarks by the Honoree:
Following the presentation of the shadow box, it’s a fitting time for the honoree to speak. Allow the honoree to speak and express their thoughts and gratitude. This is a personal and emotional moment for them. The honoree can express their thoughts, feelings, emotions, stories, memories, and experiences related to their service and the significance of the shadow box. This speech is typically more personal and often includes reflections and gratitude.

Secondary Speeches and Tributes:
Invite and schedule any additional speakers who wish to express their thoughts and acknowledgments. These speakers can include family members, fellow service members, friends, or community members who wish to share their thoughts, stories, and tributes with the Veteran.

Closing Remarks and Salutations:
The Master of Ceremonies concludes the ceremony, expressing a reaffirmation of congratulations and celebration for the Veteran. Branch-specific salutations may be offered as good luck send-offs. See below for the Master of Ceremonies speech guideline recommendations for specific examples.

Follow with gratitude expressed to all attendees and speakers. Conclude with an invitation for all attendees to join in a reception.

Reception:
Organize a reception with refreshments for attendees to mingle, share stories, and celebrate the Veteran’s service. Consider creating a guest book for attendees to leave messages and well-wishes.

Keepsakes and Documentation:
Prepare certificates, plaques, or other keepsakes to commemorate the ceremony. These can be given to the Veteran and their family. Tokens of appreciation can be given to all attendees if desired.

Begin by extending a warm welcome to all attendees and expressing gratitude for their presence at this special ceremony. Set a positive and inclusive tone for the ceremony.

Acknowledgment of Sponsors and Supporters:
Thank any sponsors and supporters for making the event possible. Highlight their contributions and express gratitude for their crucial role in bringing the ceremony to fruition.

Ceremony Overview
Provide a brief overview of the ceremony’s purpose and significance. Explain that this gathering is a heartfelt tribute to your distinguished Veteran’s remarkable achievements and military service. This ceremony is a momentous occasion to present your Veteran with a military shadow box, symbolizing honor, recognition, and appreciation. Emphasizing the celebration of your Veteran and the presentation of the military shadow box.

Acknowledgment and Introduction of Dignitaries and Special Guests:
Recognize any dignitaries and special guests, expressing appreciation for their participation.

Briefly introduce each dignitary, highlighting their connection to the event.

Introduction of the Veteran Honoree (Biography):
Introduce the honoree by providing a brief biography or overview of their life, service, and achievements. This helps set the stage for the ceremony and provides context for the following segments.

Biographical information about the Veteran can be given by the Master of Ceremonies and/or one or more Guest Speakers. 

Introduce Guest Speakers:
Introduce and invite guest speakers to the stage. This can include the primary guest speaker and additional speakers who wish to share their thoughts and reflections on the honoree.

Before introducing each speaker, provide a brief overview of their role and connection to the veteran or the event. 

Use enthusiastic language to engage the audience and set the stage for each speaker.

Presentation of the Shadow Box:
Transition to the formal presentation of the military shadow box.

Share the significance of the items within the shadow box, highlighting their representation of the veteran’s service and achievements.

Invite the Honoree to Speak:
If the honoree will be speaking, this would be an appropriate time for them to address the audience, expressing their gratitude and reflecting on the ceremony.

Invite Additional Speakers:
If there are additional speakers, provide them with an opportunity to speak.

Closing Remarks
Summarize the achievements and contributions of the Veteran, reiterating the ceremony’s purpose, offering a positive reflection on the significance of the event.

Farewell Salutation:
For veterans with Navy service, a customary farewell of “Fair Winds and Following Seas” can be extended. This phrase conveys a wish for favorable weather and calm ocean conditions, symbolizing metaphorical smooth sailing in the veteran’s future endeavors.

If the honored veteran served in the Air Force, a traditional parting phrase often includes “Blue Skies and Tailwinds” signifying a wish for clear skies and favorable winds, metaphorically representing smooth and prosperous journeys for the veteran in their future pursuits. Alternatively, use the Air Force’s official motto, “Aim High… Fly, Fight, Win!”

For Marines, the time-honored farewell is often “Semper Fi” or “Semper Fidelis,” meaning “Always Faithful.” This phrase expresses enduring loyalty, symbolizing the steadfast commitment to comrades and to the Corps

For veterans of the army, the official motto is “This We’ll Defend.” Alternatively, one can express an informal salutation like “May Your Path Be Clear and Your Terrain Favorable” or “March On with Strength and Resilience.”

When honoring veterans from the Coast Guard, a customary send-off could include “Smooth Sailing and Safe Harbors,” a wish representing hope for calm waters and secure havens in the Veteran’s future pursuits. Alternatively, the Coast Guard’s Latin motto could be used: “Semper Paratus” translating to “Always Ready.” The salutation conveys a wish for the veteran to remain ever prepared for new challenges and opportunities, symbolizing a resilient and dynamic future.

When honoring a veteran of the U.S. Space Force, one can use the official Space Force motto, “Semper Supra,” Latin for “Always Above.”

This is especially important for Veterans who may be suffering from PTSD or other lingering effects associated with their service, or other challenges they may have encountered inside or outside of their service.

Many Veterans have endured the effects of stress, including post traumatic stress disorder, as well as other mental, emotional, and/or physical challenges. These and all Veterans should feel cared for, supported, seen, heard, acknowledged, appreciated, thanked, and loved.

Some Veterans keep their service medals and ribbons and badges stored away out of sight, such as in cigar boxes, drawers, or closets. If a Veteran in your life is not displaying their medals, please respectfully encourage them that it’s time for them and their service to receive the full respect and commendation they deserve – and that it’s time for them to proudly display their medals.

How to Request Military Funeral Honors for a Veteran’s Funeral

Honoring a deceased Veteran through military funeral honors is a profound expression of our Nation’s gratitude for their honorable service. This ceremonial tribute is a solemn recognition of the unwavering dedication displayed by those who have faithfully defended our country. It stands as a profound demonstration of our grateful Nation’s respect, underscoring our commitment to acknowledging the sacrifices and contributions of the honored veteran.

By legal mandate, an honor guard detail for the burial of an eligible veteran comprises at least two members of the U.S. Armed Forces, with one being a representative from the deceased Veteran’s service branch. The honor detail conducts a poignant ceremony, encompassing the playing of “Taps” and the meticulous folding and presentation of the American flag to the next of kin.

Military Honors are available for every honorable discharged deceased Veteran free of cost.

Additional individuals eligible for funeral honors include:

  1. Members of the Commissioned Officers Corps of the Public Health Service
  2. Members of the National Oceanic and Atmospheric Administration

For families who have the cremated remains of their Veteran loved ones and who wish to organize a burial ceremony, they should reach out to the designated Military Funeral Honors coordinator for assistance. It is advisable to allow a minimum of 48 hours for the coordination of the funeral detail. To verify eligibility, the services will ask for a copy of the veteran’s DD Form 214, known as the “Certificate of Release or Discharge from Active Duty,” or other relevant discharge information. There are specific Emergency Requests and procedures for those who need a replacement DD Form 214 in order to schedule Military Funeral Honors.

How to get a Free Burial Flag or Interment Flag for a Military Shadow Box

A United States flag is provided at no cost to drape the casket or accompany the urn of a deceased Veteran who served honorably in the U.S. Armed Forces. The flag is furnished to honor the memory of a Veteran’s military service to his or her country. The flag can then be placed inside a shadow box for safekeeping and dignified permanent display.

To request a flag for a deceased Veteran, complete VA Form 27-2008, Application for United States Flag for Burial Purposes. U.S. Post Offices are the primary issuing point for burial flags. A funeral director can also help you obtain a flag. Call and confirm with the post office in advance. Not all local post offices have burial flags on hand but they should be able to direct you to the closest issuing post office. Regional VA Offices can also help identify local issuing points. How to Request a Presidential Memorial Certificate for a Veteran

A Presidential Memorial Certificate is a parchment certificate featuring a calligraphic inscription that conveys the nation’s gratitude for the honorable service of a deceased veteran in the Armed Forces. The certificate includes the veteran’s name and bears the signature of the President of the United States. This certificate can be displayed in an appropriate certificate display case. Note that most certificate shadow boxes display 3×5 flags, not memorial flags, so be sure to insert the appropriate size flag for your certificate display case.

How To Request A Military Flyover For A Deceased Military Veteran

Flyovers of military aircraft are sometimes possible to honor deceased Veterans at their funerals. Please note that military flyover requests are not granted automatically. Requests must go through an administrative review. Approval can depend on a number of factors, including the status of the deceased Veteran, the availability of aircraft and personnel, the location, date, and time of the funeral, and the weather.
